PT Ledgerowl ("the Company," "we," "us," or "our") operates ledgreowl.com, an AI-assisted bookkeeping and tax preparation service built for Indonesian small and medium businesses. This policy explains what personal and financial data we collect when you use the service, how we use it, and the choices you have. We are committed to handling your information responsibly and in line with applicable Indonesian data protection law and international good-practice standards.

1. The Data We Collect and Why

1.1 Account and identity data

When you create an account, we collect your name, email address, business type, and password (stored as a hash). We use this to authenticate you, communicate about your account, and tailor the categorization model to the right business category (cafe, retail shop, services, and so on).

1.2 Financial and bookkeeping records

The core function of the service is to read your financial records -- bank statements, transaction exports, and receipts you upload or connect via bank sync -- and categorize each transaction according to Indonesian bookkeeping and tax categories (including PPh and PPN obligations). This data is processed exclusively to provide the categorization, draft your monthly filing summary, and generate the reports you download. We do not use your client financial data to train external models or share it with third parties for their own commercial purposes.

1.3 Usage and technical data

We collect standard technical data when you use the service: IP address, browser type, pages visited, session duration, and error logs. This data helps us diagnose problems, improve reliability, and understand which features are most useful. It is collected automatically and is not linked to your financial records for any marketing purpose.

1.4 Communications

If you contact support or submit a request via our contact form, we retain the content of that communication and your contact details in order to respond and to improve the service.

2. How We Use Your Information

We use the data described above to:

• Operate the bookkeeping and tax preparation service you signed up for -- categorizing your transactions, preparing PPh and PPN filing drafts, and generating financial reports;
• Authenticate your account and protect against unauthorized access;
• Send you transactional communications (filing reminders, account notices, security alerts) -- these are necessary to operate the service and cannot be opted out of while you have an active account;
• Improve and debug the service, based on aggregated and anonymized usage data;
• Meet our legal and regulatory obligations under applicable Indonesian law.

We do not use your bookkeeping records or tax data for advertising, and we do not sell personal information.

3. Sharing and Processors

We share your information only in the following circumstances:

• Service providers acting on our behalf -- cloud hosting, email delivery, and analytics services that process data solely to provide the service to us, under written contracts that restrict their use;
• Legal requirements -- where disclosure is required by Indonesian law, a court order, or to protect the rights, property, or safety of the Company or others;
• Business transfers -- if the Company is acquired or merged, your data may be transferred as part of that transaction, subject to equivalent data protection commitments.

Your financial records and tax data are not shared with third parties for their own marketing, analytics, or model-training purposes.

4. Retention

We retain your account and financial data for as long as your account is active and for a reasonable period after account closure to allow you to retrieve records and to meet any statutory record-keeping obligations. Transaction and categorization records that you have explicitly deleted are removed from our production systems within 30 days. You may request export or deletion of your data at any time (see Section 6).

5. Security

We apply administrative, technical, and physical safeguards appropriate to the sensitivity of financial data: encryption in transit (TLS), encryption at rest for financial records, access controls limited to personnel who need the data to perform their role, and regular security reviews. No internet-based system is perfectly secure; we will notify you promptly of any breach that affects your personal data in accordance with applicable law.

6. Your Rights

Subject to applicable Indonesian data protection law and international good-practice standards, you may have rights to:

• Access the personal information we hold about you;
• Correct inaccurate or incomplete data;
• Delete your personal information (note: some data may be retained if required by law);
• Restrict or object to certain processing;
• Receive your data in a portable format (account data and financial records);
• Withdraw consent where processing is based on consent.

Ledgerowl is a business-to-business service intended for adults operating Indonesian businesses. We do not knowingly collect personal information from individuals under 18 years of age. If you believe a minor has provided information to us, please contact us so we can delete it.

We may update this policy from time to time. Material changes will be reflected by an updated "Last updated" date at the top of this page. If changes significantly affect how we process your data, we will notify active users by email before the changes take effect.
